Project Coordinator

Toronto | Full-Time | Starting Mid-July, Flexible

MakeLab is a close-knit team of designers, event coordinators, and creative technologists. We bring tools like 3D printers, laser cutters, and food photo booths to events, helping event planners and brands create interactive experiences. The work we create with our clients is beautiful, hands-on, custom, and fun. Our work is seen at public events, product launches, festivals, museums, and private workshops.

The Position. We’re looking for an Project Coordinator to manage our growing event-interactives business, strategically and practically. You’ll be a core member of our team, and oversee the pre-planning, production and execution of all live-event offerings in our advertised portfolio, and help us grow that area of our studio.

Responsibilities

  • Managing event enquiries and guiding clients from initial leads, through budgeting and proposals, to fully-executed events
  • Studying our clients’ brand narratives, and exploring how our offerings can be customized to suit their messaging and event
  • Scheduling and overseeing preparation and production for events
  • Owning the seamless execution of events, in-person and in managing our events-team
  • Ensuring our processes and procedures are functional and followed correctly
  • Leading post-event team reviews, implementing new procedures as required, completing financial reports, and identifying where budgets can be improved
  • Fostering an excited, can-do culture in the team
  • Assisting in the recruitment and training of new events-team members
  • Providing strategic input on all events, including business development and growth

Required Experience

You’ll need to be experienced in managing teams, external production partners, and have a proven track record of actively contributing to new business. Specifically:

  • Minimum 2 years in advertising, marketing, or event management (Agency experience an asset)
  • Experience managing a team
  • Experience managing project budgets of up to $50,000
  • Experience managing a broad range of clients and projects
  • Exceptional administrative, written, and verbal communication skills
  • Strong financial understanding and comfort with detailed budgets
  • (Asset) Technical know-how, including familiarity with fabrication, design, A/V, or web development

Junior New Media Projects Producer

Toronto | Full-Time | Starting Mid-July, Flexible

The work we create with our clients is beautiful, hands-on, custom, and fun. Our work is seen at public events, product launches, festivals, museums, and private workshops.

The Position. We’re looking for a junior projects producer with technical experience to help us execute interactive events and experiment with new ideas. You’ll work under our senior producers to ideate, plan, budget, and execute our creative projects and events. This involves a combination of technical problem solving, maintenance, research, physical setup, and a variety of related tasks and responsibilities.

Responsibilities

  • Assisting on-site and off, supporting our technology in the field
  • Overseeing preparation and production for projects, especially our computers, laser cutters, and 3D printers
  • Developing processes and procedures which are functional and followed correctly
  • Helping manage our technical inventory
  • Fostering an excited, can-do and dynamic culture in the team
  • Assisting with testing and discovery for new projects

Required Experience

  • Experience with multimedia / new media projects
  • Some experience with coding and hardware
  • Some experience with digital fabrication like laser cutting and 3D printing
  • (Asset) Working knowledge of Illustrator

Events + Interactive Project Management Intern

Paid + Full-Time (Co-Op Position Also Available) | Hiring For Fall | Entry Level

About MakeLab. Three years ago, we took eight 3D printers to a Toronto bar and taught design ‘till last call. We’ve since taken all of our tools out of the lab, inventing ways to spark wonder and creativity in unexpected places. Our hands-on laser cutters, light tables, fabric printers, and food photo booths have been featured at the ROM, AGO, Fashion Week and TIFF, and at the centre of custom experiences for brands like Absolut, Microsoft, Samsung, Lexus and Sephora. Our mission is to invent hands-on interactive experiences around the world.

The Position. In an always fast-paced and sometimes crazed close-knit environment, we each wear many different hats in building a thriving creative studio. Your experience will be no different – splitting your time between in-studio planning and on-site event execution. When in-studio, you'll work with our production and logistics team to precisely plan upcoming event interactives. On-site at events, you'll be part of our events team helping to bring the plan to life. Your work will be challenging and your opinions will matter. An independent, forward thinking mindset will serve you well, as will a willingness to do, fail, learn, and repeat. This is a full-time entry level position with irregular hours, which means you'll need the flexibility to work evenings and weekends on relatively short notice.

About You.

  • Your friends describe you as an incredibly competent person, outgoing, energetic with a get-shit-done attitude
  • You're an exceptional communicator
  • You have experience in the field of marketing, communication, event planning or alike
  • You have the ability to be a leader, while also working as a part of a team
  • You feel comfortable lifting heavy equipment (50-70 lbs at most)
  • You have your passport, can travel and like to do so

  • You don’t mind the small tasks and know they make all the difference in the big picture
  • You must have a driver's license and are comfortable driving a van
